Where owners, consultants and vendors meet.
Every site, every deliverable, one place to see where it stands. Vendors submit, reviewers mark up, approvals file themselves, and Vertex keeps the record.

A deliverable goes from submitted to approved without anyone chasing it.
Each site has tasks: a site inspection, a power assessment, structural drawings, and so on. Tasks that need proof are completed by submitting documents. Here is what happens to one.
The vendor submits
Pick the project, site and task, attach the files, see exactly what evidence the task asks for. The submitter gets a receipt saying what happens next.
Under reviewReviewers read and mark up
The files are combined into one review PDF. Every reviewer in the round marks it up in the browser, responds, and sees the others' responses.
Round 1 · Round 2A decision goes back
Approve, or return it with the reviewers' notes and a redlined PDF. The vendor is emailed, sees the markup, and resubmits a revision. The cycle repeats until it is approved.
Needs revisionApprovals file themselves
Approved files are copied to the approved folder, in SharePoint if you use it, under your naming pattern, with the review markup filed beside them.
ApprovedFour statuses, the same words in every row, button, badge and email: Incomplete Under review Needs revision Approved
One system for the program team and every vendor on it.
The project team sees everything. Each vendor sees only their own work. Nobody waits on an email thread to learn where a deliverable stands.
Run the whole program from one dashboard.
Thousands of site tasks, dozens of vendors, two review rounds, and a clear answer to "what is waiting on whom?"
- A dashboard that answers the questionOpen, at-risk and overdue reviews, who hasn't responded, and site progress by discipline. One Remind button emails whoever a review is waiting on.
- Review the way your team already reviewsOne or two rounds per task, reviewer groups by discipline, target days, and a round 2 decision prefilled from round 1's notes.
- Reports you can act onFirst-pass rate, resubmission rate, days to resubmit, and review cycle times by month, project, vendor and reviewer. Every chart has a table, and every view has a link you can share.
- Bring your own dataImport your site list and task catalog from Excel, apply task templates to many sites at once, and export any list, or schedule a workbook to a SharePoint folder daily.
- A record that holds upEvery revision, response, decision and reason stays on the task. An activity log shows who changed what on each site. Changing a decided result needs a reason.
Know exactly what is waiting on you.
Your home page leads with what needs your attention. One next step on every task, and an email at every turn.
- Submit in a minuteOpen a task, attach the files, see what evidence it asks for, and send it. You get a receipt that says what happens next.
- See where every submission standsUnder review, returned to you, or approved. No more asking. The reviewers' notes and redlined markup sit right on the task when something comes back.
- Respond to a revision in placeResubmit from the returned task. The form shows what was asked for, links to the markup, and tells you which revision this will be.
- Only your own work, alwaysYou see your organization's sites, tasks and submissions and nothing else. Internal comments and other vendors never reach your pages or your inbox.
- Works from the fieldSign in with the Microsoft or Google account you already have. Submit photos from a phone. Download approved copies and export your own report, even without access to the client's SharePoint.
Mark up the drawing in the browser. The vendor gets a real redlined PDF.
Every reviewer draws on the same document and sees everyone's markup. The decision buttons sit above the drawing, and the side rail holds the task, the history and each round as a timeline.
- Highlight, pen, rectangle, circle and text tools; markup saves as you draw.
- Markup is added to the PDF as standard annotations. The drawing itself is left byte for byte as it was.
- Internal comments stay with the team. The vendor sees the decision, the summary and the redline.
- A decision never waits on SharePoint, email or the PDF converter. It is recorded, and the rest is queued and retried.
Everything a deliverable program needs, and nothing that gets in the way.
Task catalog and templates
Keep one catalog of task definitions, each with the evidence it needs and a default vendor. Group them into templates per project and apply a template to many sites in one go.
Two-round review with markup
Round 1 reviewers respond and mark up; round 2 returns one decision. Or use a single round and let the responses combine. Target days and reviewer groups per task, per project.
Approved documents, filed
Approved files are copied to your folder structure under your naming pattern, with the review markup beside them. Internal people get the SharePoint link; vendors open the copy through Vertex.
Email at every step
Invitations, receipts, review requests, decisions with the redline attached, and reminders when a review or revision is at risk or overdue, escalating when it stays that way. Every email says what happens next.
Trends and team performance
First-pass rate, resubmission rate and days to resubmit by task category and vendor. Median review time, round cycle times and rounds within target by reviewer group. Charts with table views and shareable links.
Excel in, Excel out
Import sites from your tracker's export and your task catalog from SharePoint, previewing every change before it saves. Export any page to a workbook, or schedule one to a SharePoint folder daily or weekly.
Roles that match the job
Admin, Reviewer, Read-only, Vendor and Vendor Admin. Vendor Admins invite and manage their own company's people. Everyone signs in with the Microsoft or Google account they already have.
Private, scanned, backed up
Each client runs in its own environment with its own database, storage and sign-in. Uploads are scanned for malware. Backups are kept in a second region, and a System check page shows that everything is healthy.
Help built in
A vendor guide and a project team guide with annotated screenshots, one click from every page and readable before you sign in. Every page is keyboard accessible and works on a phone.
Common questions
I'm a vendor. How do I sign in?
Vertex runs at your client's own address. Use the link in your invitation email, then sign in with the Microsoft or Google account the invitation was sent to. There is no password to set. If you work for several clients, the client's name under the Vertex logo tells you which environment you are in.
Do we need SharePoint?
No. Vertex keeps every file itself. If you do use SharePoint, approved copies can be filed to your document libraries automatically and exports can be scheduled to a folder, and a slow or unreachable SharePoint never holds up a decision.
Can we bring our existing tracker and task list?
Yes. Sites import from your tracker's Excel export and the task catalog from a SharePoint list export. Each import shows what will change before anything is saved, matches existing records, and can be re-run to refresh.
Where does it run and who can see our data?
Each client gets its own environment on Microsoft Azure: its own database, file storage, sign-in registration and email sender, so nothing of one client is ever visible to another. Your own logo and name appear in the app and on the sign-in page.
Does it work on a phone?
Yes. The menu becomes a drawer, tables scroll inside their own box, and the review page stacks the side rail under the drawing. Vendors can submit photos straight from the field.
What does a vendor see of our program?
Only their own organization's sites, tasks, submissions and emails. Internal comments, review rounds, other vendors and your tracker data never reach a vendor page. What a vendor sees of a site record is the client's choice.

Tell us about your program and we will set up a walkthrough. A new client environment takes about half a day to stand up, most of it waiting for DNS.
